Entering a Learner

Learner records help CALPs track who’s coming through the doors (and get a feeling for who’s not). Records are automatically created (or updated) when a learner registers for a learning opportunity. This way, only registered learners are marked Active in your organization's records. However, learners can be added to the database without first being registered. Learner records remain in your database and can be accessed year after year.


Note: if you add a learner record using the method below (outside of a registration), you must also register the learner for them to show up in a learning opportunity class list. 

To enter a learner in the database without registering them:

 

IMPORTANT: check the learner list first to be sure the learner is not already in your records

Click Learners in the database menu

Learners in Menu

Type the learner's name in the search bar at the top of the page

Learner Search UPDATED

Press the enter key on your keyboard

If the learner does not appear in the search, enter a new learner record

Click + New learner

New Learner Button

Complete the learner form

Note: you do not need to gather more than the learner's name and primary contact (and allergies) at this time. Other information can be added to the learner record as you get to know them.

Click Submit
